Corporate Event AV Production in Los Angeles | Impact AV — Founder-Led Since 1996

The Real Problem

You’re the one on the hook if this event goes sideways.

Corporate marketing and comms leads are personally accountable for the CEO’s moment on stage. And most vendors don’t take that failure as personally as you do. Here’s what buyers keep telling us.

The fear of public on-stage failure

“There is no room for emotions when time is so tight and the program needs to happen as flawlessly as possible.” — Valerie Bihet, The Vibe Agency

A dropped audio feed on a keynote. A frozen slide during earnings. An LED wall that pops mid-launch. The CEO stands there. The room watches. Your name is on the run-of-show. There is no “we’ll fix it in post.”

The invoice that keeps growing after the event

“Bills can be so difficult to understand because they include numerous line items, surcharges, percentage fees.” — Ryan Kopf, on venue AV pricing

Hotel “house AV” runs 30–50% over market — a commission built into every line, before the extras start showing up:

  • Power drops (per 100A) $500–$1,200
  • Rigging $2,000–$5,000
  • Patching fees (per connection) $200–$500

Nobody is actually accountable on the day

“Multiple AV providers on one event to save money is a recipe for disaster.” — BizBash

You booked one company. On show day, three subcontractors show up in different shirts. When something breaks, four people point at each other. When the room needs a decision, nobody makes one. The person who sold you the event is on another call.

You never meet the person actually running your show

Every LA corporate AV competitor pitches “a team,” “a producer,” “an account rep.” None of them put a named human on the homepage. None of them tell you who’s on the floor on Tuesday morning at 6 a.m. when your load-in starts.

If your event is brand-critical, “a team will be assigned” isn’t accountability — it’s vendor-speak.

The Other Version of This Event

The version where you don’t watch in horror.

When Impact AV is running your event, this is what the day feels like.

Confidence

Every cue hits.

The CEO nails the keynote. Slides land on time. The stream never drops. Backup audio, backup video, backup power — built in fours, not sold as an upsell.

Accountability

You know the name of the person running your show.

Bill or Sandy is on the floor. Same senior pod every time. When you need a decision at 6:47 a.m., you call one number and the person you call is the person on-site.

Certainty

The invoice matches the quote you approved.

Scope, gear, crew, and inclusions all named up front. No hotel commission. No surprise line items. Change orders within scope aren’t billed — they’re how professionals work.

Multiplier

The event becomes a year of brand content.

Broadcast-grade multi-cam by default means your keynote isn’t just a live moment — it’s exec-interview cutdowns, recap reels, and social clips your team already planned to buy separately.

What it means for you:You see exactly what will happen, in what order, and who owns each cue — before the day.

Bill & Sandy run the floor

Founders on-site, backed by a named pod of senior operators who’ve worked together for years. No subcontractors in different shirts.

What it means for you:One accountable point of contact. Same senior crew, every event.

You get the recording — and, if you want, everything after

Multi-cam recording is delivered as standard. Optional: turn it into exec interviews, cutdowns, and a year’s content library.

Named Senior Operators

Redundancy in fours. Critical failures restored in minutes. Same senior crew every time.

For three decades, Impact AV has been the crew studios and producers call when failure isn’t an option — and keep calling. We don’t “have a Plan B” on show day; the Plan B is already patched, powered, and standing by. That’s the operating standard we bring to a CEO keynote, a product launch, or an all-hands.

Straight talk: our published proof above is film/TV — verified and public. Corporate case studies are in progress as events happen. Ask Bill for comparable corporate references under NDA; he’ll walk you through them directly.

Common Questions

The things every corporate buyer wants to ask before they call.

Straight answers — the same ones you’ll get from Bill on the phone.

How we price, in short: Fixed scope, named up front No hotel commission Change orders within scope, never billed No published day rate — real quote in 3–5 days
Will I get nickel-and-dimed with hidden fees like hotel AV?

No. We compete on certainty, not cheapness. You get a scoped quote with the gear, crew, and inclusions named up front. Change orders within scope are how professionals work — we don’t bill for them. We’re independent of every venue, so there’s no 30–50% hotel commission baked into your invoice.

You come from film. Are you actually proven in corporate?

Fair question. The honest answer: film-set discipline is the reason corporate buyers hire us — on a $500K-a-day shoot, downtime is unacceptable, so we built systems that don’t fail that way. That standard runs a CEO keynote better than a “corporate-AV” template built for a hotel ballroom.

Corporate references are available on request under NDA. Ask Bill directly — he’ll walk you through comparable engagements.

Is it really just Bill and Sandy? What if my event has multiple rooms?

Bill and Sandy are on the floor for the events that need them — that’s the promise. Behind them is a named senior pod of roughly 10 operators who work almost exclusively through Impact AV. Multi-room, multi-track, hybrid, streaming — the pod scales without introducing strangers to your show day.

Why not just use the venue’s in-house AV?

Because “house AV” typically runs 30–50% over open-market rates — the venue takes a commission built into every line item. And house crews are staffed to hit the room’s baseline, not your CEO’s brand-critical moment. If the stakes are ordinary, house AV is fine. If they aren’t, you want a team that works for the event, not for the venue.

What’s included, and what gets billed separately?

Always included: project management, full crew, all backup gear (redundancy in fours), run-of-show doc, post-event recording, vendor coordination, change orders within scope.

Billed separately (and named up front): extra rehearsal days, travel beyond the LA metro, custom scenic, live-stream deliverables where applicable.

Never charged: vendor coordination fees, change-order fees within scope, post-event support calls in the first 30 days.

Do you carry insurance? Can you provide a COI?

Yes. Certificate of Insurance available on request, including additional-insured language for your legal and procurement teams. We’re procurement-ready.

What’s your process if something goes wrong on show day?

Every critical signal has three backups already patched and powered. If a mic drops, the backup is already open. If a camera fails, the switch is already programmed. If a projector goes dark, the redundant path is already routed. Response is measured in seconds, not minutes. That’s not a marketing line — it’s how we’ve run film sets for 30 years, and it’s why studios keep calling.

How much does an event like mine cost?

We won’t give you a made-up day rate on a website. What we’ll do is scope your event and give you a real quote in 3–5 business days. As a directional anchor: serious corporate AV for executive events typically starts around $25K, and brand-launch or activation-scale events land higher. If your budget is well outside that, we’ll tell you honestly whether we’re the right fit before wasting your time.
